Privacy policy

This policy explains what personal information ProofScene collects through this website, why we collect it, and what you can ask us to do with it. ProofScene is a pre-launch product, and this website is a marketing site: the only information we collect is what you choose to send us through a form, plus standard, aggregate website analytics.

Who we are

ProofScene is the operator of proofscene.com and the controller of any personal information described in this policy. You can reach us at hello@proofscene.com about anything on this page.

What we collect

Information you give us

When you submit the contact form or the early access form, we receive the details you type into it. Depending on the form, that is your name, your email address, your company name, the industry you selected, an approximate proof volume, and any message you write.

We do not ask for payment details anywhere on this site, and we do not ask you to upload artwork or production files through this website.

Information collected automatically

We use Google Analytics to understand, in aggregate, how people find and use this site — which pages are read, which links are followed, roughly where visitors are located, and what kind of device and browser they use. This is measurement data about site usage, not an attempt to identify you personally.

Our hosting and content delivery provider also processes standard server and security logs, including IP addresses, as a normal part of serving and protecting the website.

What we do not collect

  • We do not collect special category data (health, biometric, political, religious or similar information).
  • We do not knowingly collect information from children.
  • We do not buy personal data from list brokers or data vendors.
  • The free tools on this site — the reprint cost calculator and the proof approval checklist — run entirely in your browser. The numbers and ticks you enter are never transmitted to us. The checklist stores your progress in your own browser's local storage, on your device only, and you can clear it with the reset button at any time.

Why we use it and our legal basis

  • To reply to you. If you contact us, we use your details to answer. Our basis is the steps taken at your request before entering a contract, and our legitimate interest in responding to enquiries.
  • To operate the early access list. If you request early access, we use your details to contact you as onboarding opens and to work out which workflows to support first. Our basis is your consent, given by submitting the form, and our legitimate interest in developing the product.
  • To improve the website. Aggregate analytics tell us which pages are useful. Our basis is our legitimate interest in running a functioning website, and consent where required by local law.
  • To keep the site secure. Server logs and anti-spam checks protect the site from abuse. Our basis is our legitimate interest in security.

We do not sell personal information, we do not rent or trade contact lists, and we do not use your details for advertising targeting.

Who processes your information

We keep the list of third parties deliberately short. Those we do use act as service providers on our behalf:

  • Web3Forms — processes submissions from the contact and early access forms and delivers them to our email inbox.
  • Google Analytics (Google LLC) — provides aggregate website usage measurement.
  • Our hosting and content delivery provider — serves the website and maintains standard security and access logs.
  • Our email provider — holds the messages you send us, in the same way as any business inbox.

Some of these providers operate internationally, which means your information may be processed outside your own country. Where that happens we rely on the transfer safeguards those providers put in place, such as standard contractual clauses.

Cookies and similar technologies

This site does not use advertising cookies, retargeting pixels, or cross-site tracking cookies.

Google Analytics sets cookies to measure site usage. If you would rather not be included, you can block cookies in your browser settings, use your browser's private mode, or install Google's opt-out browser add-on. Blocking them does not affect how the site works.

The proof approval checklist uses your browser's local storage — not a cookie, and never sent to a server — solely to remember which items you have ticked on your own device.

How long we keep it

We keep enquiry and early access records for as long as the conversation is live and for a reasonable period afterwards so we can pick it back up if you come back to us. If you ask us to delete your details, we will, subject to anything we are legally required to retain. Analytics data is retained according to Google Analytics' standard retention settings.

How we protect it

The site is served over HTTPS, form submissions are transmitted over encrypted connections, and access to the inbox that receives them is restricted to the people who need it. No system is perfectly secure, but we keep the amount of personal information we hold small on purpose — it is the most effective protection there is.

Your rights

Depending on where you live, you may have the right to:

  • ask what personal information we hold about you, and get a copy;
  • have inaccurate information corrected;
  • have your information deleted;
  • object to, or ask us to restrict, certain processing;
  • withdraw consent you previously gave, at any time;
  • ask us to transfer your information to another provider; and
  • complain to your local data protection authority.

To exercise any of these, email hello@proofscene.com. We will respond within the timeframe required by the law that applies to you, and we will not charge you or treat you differently for asking.

Marketing

If you join the early access list, we will email you about early access to ProofScene and about the product itself. We will not add you to an unrelated marketing programme and we will not pass your address to anyone else. Every message we send includes a way to stop receiving them, and replying to ask us to stop works just as well.

Changes to this policy

ProofScene is pre-launch, and this policy will change as the product launches and as we introduce accounts, hosted proofs and customer artwork. When it changes we will update the date at the top of this page. If a change materially affects people already on our list, we will tell them directly rather than relying on them to re-read this page.
